DBC: Bulk Admin Tools
Overview
This section, located on the left navigation panel of the Dist Admin site, assists you by providing tools for rapid deployment of new sites, as well as making changes to existing ones. Below is a screenshot of the currently available options, which will be discussed within this chapter.
For any utilities where you are uploading a CSV file:
- The first row will always be ignored, assuming that this is a header row.
- For utilities where you select the Enqueue Task or Upload button, your task will be added to the Task Manager. You can refresh the Task Manager to check the progress of your upload(s).
- Once the upload has completed, the e-mail address entered during the process will receive a notification.
Task Manager
The first option located under the Bulk Admin Tools is the Task Manager. It manages the bulk admin tool uploads. (Note: This tool only applies to the newest bulk admin tools). It allows you to upload one or more spreadsheets while you continue working. The manager waits for an open time and manages the file load to prevent any site slowness. This tool lists what tasks or processes have recently run or are currently in the queue to be run. If a task is currently in progress, the progress meter bar will show how far along the process is.
Asset Maintenance - Asset Deletion
This option allows you to delete Assets in bulk.
1. Right-click on the “Download Template for this Loader” link and choose the “Save” option.
2. Open the CSV file in Excel. Your CSV file will prompt you for the Asset Code. Fill out this file as needed and Save.
3. Browse for and upload the CSV file.
4. Enter in an e-mail address for the results to be e-mailed to.
5. Press the Enqueue Task button. This will add your upload to the Task Manager.
Company Maintenance
Bring Online
This option allows you to bring multiple companies online using a CSV file.
1. Right-click on the “Download Template for this Loader” link and choose the “Save” option.
2. In the downloaded CSV file, add the Customer Number, Site URL, and Status using Yes or No. (Yes – ACTIVE / No – INACTIVE)
3. Select the Sync Items box if you want to Sync Items at the same time you bring the company online. 4. Browse for your Source File. (This will be the updated CSV file with the Customer Number, Site URL, and Status.)
5. Enter an e-mail notification address. This address will receive an e-mail when the bulk load has been completed.
6. Select the Enqueue Task Button. This will add your upload to the Task Manager.
Include or Exclude Line Item Identifiers – By Company
This option allows you to upload a list of line item identifiers that should be “included” or “excluded” for a company.
1. Right-click on the “Download Template for this Loader” link and choose the “Save” option.
2. Open the CSV file in Excel. Your CSV file will prompt you for Company and Line Item Identifiers. Fill out this file as needed.
3. Designate if the line item identifiers in your file should be “included” or “excluded”.
4. Browse for and upload the CSV file.
5. Enter in an e-mail address for the results to be e-mailed to.
6. Press the Enqueue Task button. This will add your upload to the Task Manager
Direct Mail Rooftop Radius Addresses
This option allows you to upload the latitude and longitude for the addresses so the addresses can be checked against Geocoder
1. Right-click on the “Download Template for this Loader” link and choose the “Save” option.
2. Open the CSV file in Excel. Your CSV file will prompt you for Street Address, City, State, Zipcode, Latitude, and Longitude. Complete with required data and save.
3. Browse for and upload the completed CSV file.
4. Enter in an e-mail address for the results to be e-mailed to.
5. Press the Enqueue Task button. This will add your upload to the Task Manager.
Group Maintenance
Group Duplicate
This option allows you to setup a new group (or groups) by copying the settings from an existing group. 1. Please select the company you wish to add groups for.
2. Select a master group to copy from and check the Elements and Additional Group Settings you wish to copy.
3. Browse and select a CSV file to upload. This file will have two columns. The first column should be group name, and the second column should contain the email cc's for the new group (if applicable.)
4. Press the Copy Now button.
Set Permissions
This utility allows you to specify default permissions for specific groups, or for specific items.
1. Select the company to set permissions for.
2. Use the links on the right to designate if you would like to set permissions by Group or by Item (for customizable items).
3. If setting permission by group(s), select the group(s) on the left that you would like to set these permissions for. On the right, modify the various settings as desired and check the Apply box next to it. When finished designating the options, click on the Save button.
4. If setting permission by item(s), select the item(s) on the left that you would like to set permissions for. On the right, you can select which of the 4 fields you would like to update. Select from Mandatory, Modifiable, Disabled, or Spell Check. Once you select the field that you want to modify, check the Yes or No option, and then press the Save button. This will update all the VP elements for all the items that you have chosen.
Assign Locations
This utility provides you with a means to quickly attach ship-to’s or cost centers to a group.
1. Please select the company you wish to define group location values for.
2. Specify if locations added in the future should be visible to these groups.
3. Specify if the list you upload should apply to ship to’s or cost centers.
4. Browse for and upload a CSV file. The first column should be group name, and the second column should be the four-character loc_code from the location record.
5. Press the Assign Now button.
Assign Company Profiles
This tool allows you to assign several company profile options quickly and easily to the groups who should see them.
1. Select the company to work with.
2. Select the profile group you wish to specify profile/group assignments for.
3. Specify if these assignments are the values to be included or excluded.
4. Browse for and upload your Source CSV File. This will be a CSV file with two columns. The first column should be user group name, and the second column should be the profile name.
5. Press the Assign Now button.
Set Buyer Accounts
As a distributor admin it allows you to assign your groups for buyer accounts. Buyer accounts allow you to specify a different account number by user group to determine and alternate account for location and order placement.
1. Right-click on the “Download Template for this Loader” link and choose the “Save” option.
2. Open the CSV file in Excel. Your CSV file will prompt you for Group Name and Buyer Account Number.
3. Select the Master Company your buyer accounts will be assigned on. The system will verify that the group exists, and your company has been brought online. If your group already has a buyer account defined, the new specified value shall override that.
4. Browse for your Source File. (The CSV file with the group name and buyer account number.)
5. Enter an e-mail notification address. This address will receive and e-mail when the bulk load has been completed.
6. Press the Enqueue Task button. This will add your upload to the Task Manager.
Include or Exclude Line Item Identifiers – By Group
This option allows you to upload line item identifiers that should be “included” or “excluded” for a group.
1. Right-click on the “Download Template for this Loader” link and choose the “Save” option.
2. Open the CSV file in Excel. Your CSV file will prompt you for Group and Line Item Identifiers. Fill out this file as needed.
3. Designate if the line item identifiers in your file should be “included” or “excluded”.
4. Select the company that these groups belong to.
5. Browse for and upload the CSV file.
6. Enter in an e-mail address for the results to be e-mailed to.
7. Press the Enqueue Task button. This will add your upload to the Task Manager.
User Maintenance
Assign Locations
As a distributor admin, this tool allows you to assign ship to locations and/or cost centers to your existing users on your customer sites.
1. Right-click on the “Download Template for this Loader” link and choose the “Save” option.
2. Open the CSV file, which will prompt you for User Name and Ship To or Cost Center. Fill out the spreadsheet and then save it. Note: The Ship To/Cost Center value is the loc_code from DB/d.
3. Select your company.
4. Select the list type (Cost Center or Ship To’s).
5. Select the option to show or do not show new locations when they are added.
6. Browse for and select your CSV Source File.
7. Enter an e-mail notification address. This address will receive an email when the bulk load has been completed.
8. Press the Enqueue Task button. This will add your upload to the Task Manager.
Include or Exclude Line Item Identifiers – By User
This option allows you to upload line item identifiers that should be “included” or “excluded” by user.
1. Right-click on the “Download Template for this Loader” link and choose the “Save” option.
2. Open the CSV file in Excel. The CSV file will prompt you for Username and Line Item Identifiers. Fill out this file as needed.
3. Designate if the line item identifiers in your file should be “included” or “excluded”. 4. Select the company that these users belong to. 5. Browse for and upload the CSV file. 6. Enter in an e-mail address for the results to be e-mailed to. 7. Press the Enqueue Task button. This will add your upload to the Task Manager.
Delete Users
This option allows you to deactivate users in bulk.
1. Right-click on the “Download Template for this Loader” link and choose the “Save” option.
2. Open the CSV file in Excel. The CSV file will prompt you for Username and Line Item Identifiers. Fill out this file as needed and save.
3. Select the company these users belong to.
4. Browse for and upload the CSV file.
5. Enter in an e-mail address for the results to be e-mailed to. 6. Press the Enqueue Task button. This will add your upload to the Task Manager.
Catalog Maintenance
Bulk Catalog-Item Addition
This option allows you to upload items and bulk assign them to a specific catalog.
1. Right-click on the “Download Template for this Loader” link and choose the “Save” option.
2. Open the CSV file in Excel. The CSV file will prompt you for Company and Item Code. Fill out this file as needed and save.
3. Select the company these items belong to.
4. Select the catalog to assign these items to.
5. Browse for and upload the CSV file.
6. Enter in an e-mail address for the results to be e-mailed to.
7. Press the Enqueue Task button. This will add your upload to the Task Manager.
Bulk Catalog-Item Addition For Many Catalogs
This option allows you to upload items and bulk assign them to multiple/different catalogs.
1. Right-click on the “Download Template for this Loader” link and choose the “Save” option.
2. Open the CSV file in Excel. The CSV file will prompt you for Catalog Name, Company, and Item Code. Fill out this file as needed and save.
3. Select the company these items belong to.
4. Select the parent catalog to assign these items to sub-catalogs, or select Include All Catalogs
5. Browse for and upload the CSV file.
6. Enter in an e-mail address for the results to be e-mailed to. 7. Press the Enqueue Task button. This will add your upload to the Task Manager.
Bulk Catalog-Item Removal
This option allows you to remove items from all catalogs.
1. Right-click on the “Download Template for this Loader” link and choose the “Save” option.
2. Open the CSV file in Excel. The CSV file will prompt you for Company and Item Code. Fill out this file as needed and save.
3. Select the company these items belong to.
4. Select the catalog to assign these items to.
5. Browse for and upload the CSV file.
6. Enter in an e-mail address for the results to be e-mailed to.
7. Press the Enqueue Task button. This will add your upload to the Task Manager.
Item Maintenance
Assign Vendors
This utility allows you to select available items for a company and assign them to a specified vendor. This is helpful if you are adding many PO’d items to the system, or if you are moving many items to a new vendor.
1. Select the company that has the item(s) that need to be assigned/reassigned.
2. Select the item(s) that need to be assigned/reassigned.
3. Select the vendor that the item(s) should be assigned to.
4. Press the Assign Vendor button to accept these changes.
Set Descriptions
This utility allows you to apply bulk item description changes to the Cart Description, Catalog Description, and Storefront Description.
1. Right-click on the “Download Template for this Loader” link and choose the “Save” option.
2. Open the downloaded CSV file, add the Item Code, Cart Description, Catalog Description and/or Storefront Description. (Cart Description is limited to 50 characters, Catalog Description is limited to 255 characters, and Storefront Description is limited to 4000 characters).
3. Select the company that these items belong to.
4. Browse for your Source File. (The CSV file with the Item Code, Cart Description, Catalog Description and/or Storefront Description).
5. Enter an e-mail notification address. This address will receive and e-mail when the bulk load has been completed.
6. Select the Enqueue Task button. This will add your upload to the Task Manager.
Set Suggested Order Quantities
This utility is a quick tool for the distributor admin that will prefill quantities for items that the user can change.
1. Right-click on the “Download Template for this Loader” link and choose the “Save” option.
2. Open the downloaded CSV template in Excel. The CSV file will prompt you for Group Name, Item Code, Min Qty, and Max Qty. (The system will verify the group exists, and the item has been synched matching the specified item code.)
3. Select the Company you would like to add the updates to.
4. Browse for your Source File (the CSV file).
5. Enter an e-mail notification address. This address will receive an e-mail when the bulk load has been completed.
6. Select the Enqueue Task button. This will add your upload to the Task Manager. The system will check for previous saved min/max values for the specified group/item combination and will overwrite with the new.
Set Order Limits
This is a quick tool available to the distributor admin that will define DB/c values for many items at once. This will prevent the user from going beyond the catalog if they have triggered one or both options.
1. Right-click on the “Download Template for this Loader” link and choose the “Save” option.
2. Open the downloaded CSV template in Excel. The file will prompt you for Group Name, Item Code, Min Qty, and Max Qty. (The system will verify the group exists, and the item has been synched matching the specified item code.)
3. Select the Company you would like to add the updates to.
4. Browse for and upload your Source File. (The CSV file with the Group Name, Item Code, Min Qty, and Max Qty.)
5. Enter an e-mail notification address. This address will receive an e-mail when the bulk load has been completed.
6. Press the Enqueue Task button. This will add your upload to the Task Manager. The system will check for previous saved min/max values for the specified group/item combination and will overwrite with the new.
7. These imported values can also be accessed via Work With Order Limits thereafter.
Set Related Items
On the distributor admin site, under Work With Items, you have the option of assigning related items to other items.
1. Right-click on the “Download Template for this Loader” link and choose the “Save” option.
2. Open the downloaded CSV template in Excel. The file will prompt you for the Item Code, and which Item Code you want to relate it to.
3. Select the Company that these items are being related for.
4. Browse for and upload your Source File. (The CSV file with the Item Code and Relates to Item Code.) 5. Enter an e-mail notification address. This address will receive an e-mail when the bulk load has been completed. 6. Press the Enqueue Task button. This will add your upload to the Task Manager. The system will upload these new item relations.
Set Item Level Line Item Identifiers
This option allows you to set the “mandatory list”, “mandatory text”, or “optional text” setting at the item level.
1. Right-click on the “Download Template for this Loader” link and choose the “Save” option.
2. Open the CSV file in Excel. Your CSV file will prompt you for Item Code and the item level setting you desire. Fill out this file as needed.
3. Select the company that these items belong to.
4. Browse for and upload the CSV file.
5. Enter in an e-mail address for the results to be e-mailed to.
6. Press the Enqueue Task button. This will add your upload to the Task Manager.
Set Price Adjustments
This option allows you to bulk upload group-based price adjustments.
1. Right-click on the “Download Template for this Loader” link and choose the “Save” option.
2. Open the CSV file in Excel. Your CSV file will prompt you for the required information about the price adjustment(s). Fill out this file as needed.
3. Select the company that these price adjustments belong to.
4. Browse for and upload the CSV file.
5. Enter in an e-mail address for the results to be e-mailed to.
6. Press the Enqueue Task button. This will add your upload to the Task Manager.
Convert V1 items to V5 items
This utility is only needed for older “Classic” sites that have Pageflex items that need to be converted to the newer UI (V5). This is not necessary for newer sites, and the utility will soon be deprecated.
Set item Video URLs
This option allows you to bulk load embedded video URLs and tags
1. Right-click on the “Download Template for this Loader” link and choose the “Save” option.
2. Open the CSV file in Excel. The file will prompt you for the Item Code, the Video URL, and Video Embed Tag. Fill this out as needed and save.
3. Select the company that these belong to.
4. Browse for and upload the CSV file.
5. Enter in an e-mail address for the results to be e-mailed to. 6. Press the Enqueue Task button. This will add your upload to the Task Manager.
Profiles Maintenance
Add/Edit User Profiles Individually - User Profile Import
This option allows you to bulk upload user profile information.
1. Select the company the users are being uploaded for.
2. Select an item that you would like to retrieve the profile data fields from.
3. Click on the “Download template for this loader” link to download a template.
4. Fill out the spreadsheet as needed and save.
5. Enter an image file path, if needed.
6. Browse for and select your filled out Source File.
7. Enter in an e-mail address for the results to be e-mailed to.
8. Press the Enqueue Task button. This will add your upload to the Task Manager.
Add/Edit User Profiles with Master Group - Master VP List Loader
This utility is used for sites with Pageflex items (which will soon be deprecated). A user can bulk load data for a master group.
1. Download the available template by right-clicking on the Template Download link and saving the file. 2. Your CSV file will prompt you for the following columns: User Name, Profile Name, and User Input.
3. Select your company.
4. Browse for ad select your CSV Source File.
5. Enter in an e-mail address for the results to be e-mailed to. 6. Press the Enqueue Task button. This will add your upload to the Task Manager
