Settings Page Enhancements
Our latest round of enhancements to DB Sourcing includes key updates to how distributor user contact information is managed and displayed—both internally and to suppliers. These updates improve flexibility, user control, and the accuracy of supplier-facing communications.
What’s New
The “Settings” navigation area has been updated with the following capabilities:
Read-Only Information
Users can now view (but not edit) the following account details, which are set by administrators:
- User Type
- Distributor Location Assignment
- Username
Editable Information
Users can now update the following directly from the Settings page:
- Password
- Contact Information (previously only editable by administrators)
Supplier-Facing Contact Info: Then vs. Now
Previously:
DB Sourcing did not support user-specific contact details.
When a CSR sent an RFQ or purchase order, the contact information shown to suppliers (in email notifications and RFQ views) came from the assigned Distributor Location.
- Example: If Mike Mannone was assigned to DemandBridge Hunt Valley, the Hunt Valley office's address and phone number were shown to suppliers.
Now:
Users can define their own contact information that overrides location-based defaults.
This includes:
- Custom Address
- Up to Two Phone Numbers
- Fax Number
These changes allow for more accurate and personalized communication, especially useful for CSRs working remotely or using direct lines.
Users only need to populate the address and Phone 1 fields if they vary from their location’s in some way, such as a direct line vs. general office phone number, or if the employee works from home or out of a client location, but still needs to be assigned to a distributor location for reporting purposes. Users might also choose to add a second phone or fax number, which are not captured at the location level.
How This Information Appears to Suppliers
As noted earlier, the contact information presented to suppliers in RFQ and Purchase Order email notifications, as well as within the supplier RFQ summary, is traditionally based on the user’s assigned distributor location—provided that location has contact details defined.
Default Behavior
- If a user is assigned to a distributor location with contact information configured, that location's data (address, phone number, etc.) is shown to suppliers.
- If a user is not assigned to a location (not recommended), only the user's name and their distributor’s name are shown—no contact details will be included.

New Behavior with User Contact Overrides
With our latest release, supplier-facing contact data can now be augmented or overridden by a user's personal contact information—provided certain conditions are met.
Key Details:
- Supplier email notifications will not immediately change with the release of this feature.
- Site administrators must enable a specific setting to allow the system to evaluate and use user-specific contact data. (This is recommended.)
Once the setting is enabled:
- Location contact information will still appear by default.
- If a user has entered their own contact data (e.g., direct phone, alternate address), and it differs from the assigned location's, the user's data will take precedence in supplier communications.
For example:
If a CSR enters their direct phone number in their settings, that number will display to suppliers instead of the general office phone.
Important Notes:
- The fields Address 1, Address 2, City, State, and Zip are evaluated as a single block to prevent mixing user and location addresses.
- If a user has not entered personal contact information, supplier-facing details will remain unchanged, and location data will be used.
