EQC: Retail Site Setup

A retail store is a click away with "EQ Commerce Retail," an e-commerce advantage that presents you with the ability to offer retail website catalogs, promotional products sales and fulfillment, and online credit card processing. It's the ideal business-to-consumer system, eliminating the need to set up shoppers in your system prior to visiting your site.

EQ Commerce Retail allows you to leverage the power of the Internet to acquire new customers who can browse products and securely place online orders. The retail store can resell client owned inventory.

Business to Business vs. Business to Consumer

EQ/c sites require creating Cost Centers/Ship Tos. Users must be set up or self-register before a user can access the site to place order. A retail site navigates to allow shoppers instant access to your site. The shopper does not need to pre-register to view the items. When the shopper adds items to their cart, they are prompted to register during the checkout process.
EQ/c sites are a portal for your client to access items they order regularly. Retail allows your client to sell their branded product to employees or any individual that accesses the site.
EQ/c is Business-to-Business. Your client is established, users place orders on EQ/c, your client is invoiced for the items. Retail is Business-to-Consumer. Credit card information is captured upon checkout. The credit card is processed in EQ/d.

The retail client can utilize the Royalties feature in EQ/d to compensate a third party based on a percentage of the profit, percentage of sales or a dollar amount. The royalty is based on the difference between the "Latest Client Price" and the "Retail Sell price." EQ/c item prices display the Latest Client Price on EQ Commerce sites. Retail/Company Store sites display the Retail Price field.

When Credit Cards are the only payment method on a retail store, the Grand Total of the order must contain all charges for the order. Before beginning setup of your retail client, please review the following EQ Distributor features.

Note: This document only outlines the additional steps required to create a Retail site on EQ/c. For complete instructions on setting up an EQ/c client please refer to the EQ/c Setup documentation.

EQ/d Setup

A Retail site should be a created with a new client ID. This is to ensure the commissions and royalties are calculated correctly. If you are creating a site for an existing client, the client can be added as a Corporate to the new retail site.

  • The retail items can be maintained under a corporate client. The corporate client is linked on the Inventory Management tab.
  • Only items marked as Retail display on a retail site.
  • "Distributor Client items" can also be displayed on the retail site; these items must also be marked as Retail to display.
  • When a shopper registers on the retail site, the shopper is assigned an internal number. This shopper's ID downloads into EQ/d as a "Ship-To ID."
  • Credit cards are usually the only payment method allowed on a retail site. Orders must generate individually and invoiced separately. An invoice can only contain one credit card.

To designate the client as a Retail client:

  1. In Client Maintenance edit the Client.
  2. Mark the eCommerce Type check box as EQ/c Client on the eComm tab.
  3. Click the EQ/c Configuration button. Go to the Miscellaneous tab.
  4. Mark the Has Retail/Company Store checkbox. The eComm tab displays * Retail Client when the box is marked.
  5. On the Setup tab, a default tax code must be entered. Since the shoppers on a Retail site are custom shipping, the tax rules are used on Retail sites.
  6. Go to the Ships tab, add a Cost Center with the ID of RETAIL. Mark the "Cost Center to Upload to Internet."

Taxes and Freight

Retail sites usually display the Tax and Freight. When credit cards are used as a payment method, the entire price, including Tax and Freight, must be displayed on the Checkout.

The freight and tax display settings are configured in Client Maintenance > eComm > EQ/c Configuration > Display tab. Set the Freight option to Show Freight and the setting for Tax to Show Tax.

  • Please refer the "Live Lookup Freight" document for instructions on setting up freight to calculate on the checkout screen.
  • Payment methods on retail sites usually only include Credit Cards. To accept credit cards on an EQ/c site, you must have a "PCI DSS compliant" merchant account.

Payment options

Set the retail client to only accept credit cards. With a retail site, the users are usually unknown. The payment for the order needs to be collected at the time the order is placed. To set the payment options in Client Maintenance > eComm tab, go to the "Allowed Payment Methods" button.

Select Not Accepted for all non-credit card options, i.e., cash, check or money order. Select Accepted for the credit cards that your merchant account accepts.

Item Setup

The items can be either in the Retail client or linked from a Corporate or Distributor client. The items must be marked as "Upload to EQ/c" and marked as a Retail item.

In Item Maintenance, go to the EQ/c button. On the General tab, select "Upload - Standard Item" in the EQ/c in the "Upload to Internet" field. Mark the Retail Item check box.

Item Prices

Retail price only displays on sites marked as a retail client. Royalties are based on the difference between the "Latest Client Price" and "Retail Price."

For setting up Royalties, please review the "Setting Up and Using Royalties" document.

  • Retail sites use the Retail Price of an item.
  • If the item does not have a price plan, the "Latest Client Price" is used when no Retail price is entered.
  • When a price plan is used, the price plan must have a price in the Retail Sell column.

Note: The retail price can be added to all existing price plans by going to tools - copy normal prices to retail for price plans.

EQ/c Setup

Exporting the new Retail client to EQ/c creates a retail user on the site. The user is given basic rights to Prices and Custom Shipping. Edit the user to enable the Catalogs. The catalogs displayed on the Catalogs tab are determined on the Catalog tab of Client Maintenance.

Upload the client to EQ/c. The upload creates user for the retail site. This user is assigned to the RETAIL cost center. The user must be edited to give the retail users rights to the catalogs.

Distributor Setup > Administration > Distributor Access. Locate the retail client, click on the Client Name to edit.

  1. Select Administrator Login.
  2. Select Admin Settings.
  3. On the User List page, select All Users to display the retail user.
  4. Click the User Name for the Retail user.
  5. Go to the Catalogs tab.
  6. Mark the catalogs to display on the retail site.

Review the Site

Log in as the retail user to review the site. Verify the correct items are displaying and the options on the checkout screen are correct.

Note: When the site is not accessed as the Retail User, the site will not navigate as a Retail site. The retail pricing is not displayed, and the site displays a Shipping Info tab.

Accessing through Distributor Setup:

Log into Distributor Setup. In Administration > Distributor Access, click the Retail Login link (shopping cart icon) in the Retail column.

For direct access to the site, you can create a URL to the Retail site. Click the shopping cart icon to launch the site, copy the URL. The link directs shopper to the Welcome page. For additional options such as bypassing the Welcome page and starting the shopper directly in the item list, contact support for documentation on "Creating a link to EQ/commerce Retail site."

Placing Orders

The icons in the upper right corner allow returning users to sign in or new users to register. The cart displays the number of items that have been added to the cart. Returning users can sign in to view order history and items remaining in the cart from a previous session.

Non-registered users are prompted to register after viewing the cart.

  • Shoppers enter the items into the cart.
  • The cart icon displays the number of items in the cart.
  • Click the cart to view the items.
  • Review items and click Continue to Shipping.

Sign-In Page

If the shopper is returning, they enter their email and password into the Sign-In section. If the shopper is new to the site, they enter their email and password into the New User section:

The new shopper must fill out the User Profile page:

The User Profile information is transferred to the Shipping page. The shopper must enter any required information.

Continue button takes the shopper to the Checkout page. Setting in EQ/d determine the options on the checkout page, ie. tax, freight, and payment methods. Settings in EQ/d and EQ/c determine if coupons and gift certificates are accepted on the site.

Downloading Q-Store Orders

Orders are downloaded into EQ Distributor though "View Internet Orders." When the orders generate, new users on the store create a cost center in Item Maintenance. Returning users are linked to their originally assigned ID.

Orders generate the with the credit card information attached to the document. The "Bill To Address" is the retail client information. The "Ship To Address" information is the shipping information entered by the client.

The credit card can be charged through "O/E Open Credit Cards" or "A/R Open Credit Cards."

Order Tracking

Users can view their order history and track packages through their Profile Page. When signed in, the person icon at the top of the page allows the user to view/change their profile information and view their orders by selecting Your Orders.

The Order Report displays the order information. The View Confirmation link displays the original order confirmation. The Tracking number allows tracking the package through UPS and FedEx.

Retail User Impersonation

Through Distributor Setup you can log in as the retail customer to view the site. This feature allows you to view the site as your customer to trouble shoot issue the customer may be encountering with their order.

Log into Distributor Setup > Administration > Distributor Access. Locate the retail client. Click the Client Name link. Search for the shopper by email address. To view all users, click Select All. The users can be sorted by the column headings. Click the User Name or Email to log in as the shopper.

Retail Reports

Retail users can be removed from the site though a report. The Store Profiler is a report to capture sales figures from a retail store. The report can collect information in specified ranges based on all orders, by category or item. User information can be displayed on the report. This report can be exported to Excel or as a text file.

View/Delete Retail Users

This report displays all users registered on your Retail sites. The report displays the Client, emails, passwords, etc. The registered shoppers can be deleted. To access the report, from Distributor Setup, go to the Reports section. Click on "View/Delete Retail Users."

The report displays all retail sites. To remove shoppers, locate the shopper and mark the Delete box on the right. Click Delete all checked to permanently delete the selected shopper(s).

Store Profiler

The Store Profiler report displays user information from the orders placed on the retail site. The report allows collecting the information based on Category or Item, order value, and/or number of orders. The report can collect orders in a date range and can be set to only display specific fields for the user information.

To access the report, log into Distributor Setup. Go to Administration, select the client. Click "Login as Administrator." Go to the Reports/Analytics tab. Select Order Reports > Sales > Store Profiler. Use the selections to find orders within the parameters. The report can be exported to Excel or as a text file.
