EQC: Request for Quote
EQ/c "Request for Quote" program gives your clients the ability to request pricing on new and existing items. The RFQ information is created on EQ/c and downloaded into EQ Distributor’s Request for Quote program with the quantities, remarks and optional Speclet information.
The Item Type drop down displays Speclet information. Multiple Speclets can be selected to display. The completed request is sent to EQ Distributor to be processed.
EQ Distributor Setup
Speclets are used to collect information for quoting an item. The Speclet can display string, multi-line text, combo box, and checkbox fields. The RFQ displays a dropdown field for the ECommerce user to select the type of Speclet.
Create Speclet
Create the Speclet in O/E > Form Specification > Speclet Maintenance. For complete instructions on creating a Speclet, see Speclet Maintenance.
eCommerce RFQ Configuration
EQ/c RFQ Configuration is used to link the Speclet to a "Request For Quote" type. The type can be an envelope, letterhead, promotional product, for example. EQ/c RFQ Configuration is used to enter the Speclet ID, Product Group and Order information.
To access RFQ Configuration go to eCommerce > eCommerce Maintenance > EQ/c RFQ Configuration.
Click Add to create a new Speclet. Click Edit to review existing configuration.
- Rfq Type – description for the type of item. This information displays in the drop-down option in the RFQ form.
- All Clients – selecting this option activates the RFQ for all your clients. This can be overridden on an individual client.
- Speclet – enter the Speclet ID. This field can be left blank if you are not exporting Speclet information to EQ/c RFQ program.
- Product Group – select the Product Group for this type of item. This information is required in e-Quantum and determines the General Ledger revenue account the sales, from the RFQ item, should post to.
- Allow-Upload Attachment – gives your client the ability to add attachments to their RFQs. The attachment downloads with the RFQ information.
- Allow-Misc. Remarks – gives your client the ability to enter miscellaneous remarks in their RFQs. This information downloads with the RFQ information.
- Qty Input-Unit – unit of measure for the item. Ex: EA/1, LT/500, M/1000.
- Qty Input-In Multiples Of – the incremental quantity for the RFQs. Ex: if unit of measure is each, the user can be limited to units of 250. The multiples of 250 are 250, 500, 750, 1,000.
- Qty Input-Minimum Qty – the minimum amount to request pricing for based on the Input Unit.
- Suggested Qty – enter up to five recommended order quantities.
- Remarks – remarks to display on the RFQ. HTML Enabled check box allows formatting the remarks using HTML code. Click Preview to view the remarks with the formatting.
EQ/c RFQ Configuration – Client Override
The client override setting is used to enable/disable client access to RFQ Categories.
Client Maintenance > eComm tab > EQ/c Configuration > RFQ tab.
Access Settings: Sys.Default – is enabled if the RFQ Configuration is set for All Clients. Denied – the RFQ Category is not displayed on EQ/c. Allowed – the RFQ Category is displayed on EQ/c. |
Rename Catalog Title
Global Setting:
The name of the EQ/c RFQ catalog can be renamed globally in eCommerce > eCommerce Maintenance > eCommerce Configuration > EQ/c Settings > Catalogs tab. Select the EQ/c RFQ catalog. The lower portion of the page allows changing the title of the catalog. The name of the catalog can be changed at the client level.
Client Setting:
Client Maintenance > eComm > EQ/c Configuration > Catalog tab. Mark the box "Override Default Catalog/Punchout Configuration." Highlight the EQ/c RFQ type. Click Edit:
- Mark the box Override Default Catalog/Punchout Configuration.
- Highlight the EQ/c RFQ type.
- Click Edit.
- Change the Availability field to Yes, catalog/punchout is available.
- Mark the option Customize name.
- Enter the name to be displayed on EQ/c into the Name field.
Note: The catalogs display in the order they are listed. The catalogs can be rearranged by highlighting the catalog title and moved up or down the list using the up/down arrows.
Uploading Catalogs
The EQ/c RFQ catalogs is available to all clients. The catalog can be suppressed from exporting, or the catalog can be renamed at the client level.
Internet Settings
Changes to Speclet and RFQ Configuration must be exported to EQ/c. These changes must be marked to export. In eCommerce > eCommerce Maintenance > eCommerce Configuration > EQ/c Settings > Upload tab, mark the check box for "Force upload of Speclet setup information."
Export Internet Data
Go to eCommerce > Export Data to EQ/c. Select the clients with the override. If all clients are following the System Default, no clients need to be selected.
Distributor Setup
Enabling and configuring the Request For Quote program on your client’s eCommerce site is done through Distributor Setup. To access Distributor Setup, go to Help > Web Sites > Distributor Logon. On the login page, enter your site ID in the email field. Enter your site’s password in the Password field.
Select Site Appearance > Customize RFQ.
Customizing the RFQ
To change the text and colors in the RFQ window. Go to Distributor Setup > Site Appearance > Customize RFQ. Select the client in the Client field or change globally using the Distributor Default.
- Appearance – change the text and color of the Windows Title. Change colors of the fields and editable drop downs.
- Options – enable option to automatically send the email when the RFQ is submitted and set the beginning RFQ number.
- Contact – change the text for the labels in the Contact section and mark fields as required.
- Project Information – change the text for the labels in the Project Information section and mark fields as required.
- Other Information – change the text for the labels in the Other Information section.
- Quantity – change the text for the Quantity Title section and change labels for the quantity fields.
- Buttons – change the text of the Submit, Cancel and Clear buttons.
- Messages – add custom messages to the RFQ Window top, bottom, and fill instructions. Add messages to the Print Page Header and Footer.
Enabling Users to view RFQ
The user must be enabled to view the catalog. Log onto EQ/c as the Administrator. In Administration, edit the user. The Catalogs tab displays all catalogs uploaded from EQ Distributor. Mark the "Request for Quote" catalog. If all the users in a group can view the RFQ, enable the catalog in the group setting.
Entering a Request for Quote on EQ/c
On eCommerce, a user with rights to the EQ/c Request for Quote catalog has the catalog listed in the left column. Clicking the catalog launches the popup window.
The fields from the Speclet are displayed in the popup window.
EQ/c RFQ Report
This report provides users with the ability to print a report showing a summary of the Requests For Quote they have submitted for pricing. In addition, this report provides users with a streamlined method of resubmitting a Request For Quote.
- Select Start Date or leave blank for all dates.
- Select End Date or leave blank for all dates.
- Select Item Type (RFQ Type) from the drop-down list or leave blank for all types.
- Click Run Report.
Click Edit\Duplicate to resubmit the selected RFQ. The original RFQ screen displays, make any applicable changes before re-sending.
Downloading an EQ/c RFQ into EQ Distributor
Request for Quotes are downloaded/imported from your EQ/c sites in the same manner as orders are downloaded/imported. They can be included in each “automatic” download/import by selecting the Show-RFQ’s option on the Preview Orders window or they can be downloaded/imported on an individual and/or manual basis.
To download/import RFQs, go to eCommerce > View Internet Orders.
- Verify RFQs is selected before clicking download.
- Select the RFQ(s).
- Click Generate.
A popup window prompts to enter and Item ID.
- Enter an Item ID.
- Click Okay.
Note: If the item exists in this client’s Item Maintenance, the system pulls the item’s description into the RFQ. If this is a new item, the system displays the Item Not Found window.
- Item Not Found: Click New Item (not in catalog).
- Click Okay (the Missing Item ID window displays again). Click Okay once more.
The generated Request for Quote displays in the Generated Documents window. Highlight the RFQ and click View or make note of the RFQ number and access the RFQ from EQ Distributor’s desktop.
"Complete/Edit/Send" the RFQ in the same manner as one entered through EQ Distributor.
Note: If the item exists in this client’s Item Maintenance, the system pulls the item’s description into the RFQ. If this is a new item, the system displays the Item Not Found window.
