DBD: IMS Month-End Process Cycle
The Inventory Management System (IMS) Month-End Process is crucial for updating inventory files, clearing historical records, and preparing reporting data. This article outlines exactly what occurs behind the scenes during each stage of the cycle.
The Cycle Processor
The Cycle Processor is the initial option selected to build the necessary foundational files for the cycle. During this stage, the system performs the following actions:
- Updates the Physical Count Control File (
FM8): Records the specific customer, location, freeze date, status, fiscal year, and accounting period being processed. - Manages the Customer Inventory & Shipment Detail Activity File (
FMZ): * Checks customer parameters for any record marked as historic to determine if it should be cleared.- Transitions records marked as periodic from the previous cycle over to historic.
- Flags any un-designated records as periodic, sweeping them into the current active cycle.
- Freezes Inventory: Locks current inventory states within the
ICGfile specifically for IMS reporting accuracy. - Rolls Balances: Rolls the
IC1file data directly into the beginning balance. - Updates System Defaults: Saves the last completed fiscal year and accounting period within the customer defaults.
Physical Count Audit and Usage Update
Once the files are established, this stage processes usage metrics, updates order restriction parameters, and builds reporting views.
- Status Tracking: Updates the Physical Count Control File (
FM8) to reflect that the system has advanced to this stage. - Reorder Logic: Pushes necessary updates to the system's reorder files.
- Customer Scoping: If running the process by cycle, it compiles the definitive list of customers included in the active run.
- Order Maximums: Updates the Form/Location Record (
FM4) to enforce order maximum thresholds. - Usage Calculations: Automatically calculates average usage for items globally, as well as breaking down average usage by individual warehouse location.
Generated Reports
This stage compiles the backend data required to generate both standard and periodic IMS reports:
