DBD: Order Entry Advanced - Imprint Item With Master Stock

This guide details the streamlined procedure for batching an entire imprint item order into a single workflow, including how to manually pass individual version or imprint details to your vendor and how to release the corresponding master stock from your warehouse inventory to fulfill the job.


Part 1: Order Entry for Imprint Items

Step 1: Set Up the Master Line

  1. Create a fresh order for your customer and proceed to the lines layout.
  2. For Line 001, enter the primary Item Code for the imprint Item.
  3. Set your P/O Code to create the purchase order to your print manufacturer.
  4. Leave this line as a "Blank" type order and proceed.

Step 2: Use Message Lines for Variable Data

You can utilize Message Lines to pass the individual version breakdowns and details to the vendor under that exact same purchase order:

  1. Advance to Line 002 and enter the same P/O Code you used on Line 001.
  2. Bypass the Warning: The system will flag: “P/O Exists with a Custom Item on Line 001.” This is expected behavior. Simply clear/bypass the warning to keep moving forward.
  3. Set your Line Type to M    for Message.
  4. You now have a 40-character free-form text line. Type in the specific quantity and the version details (e.g., 250 Qty - Version A / Smith ).
  5. Advance to Line 003, use the same P/O Code, bypass the warning, select Line Type M, and type your next version breakdown (e.g., 250 Qty - Version B / Doe ).
  6. Repeat this process for every individual version or imprint in the batch.

Part 2: Releasing Master Stock from Inventory

If this imprint order requires pulling pre-printed master stock out of your warehouse inventory to be imprinted, add one final inventory release line to the bottom of the order.

Option A: The Automated Method (Companion Item Link)

If you have already established a companion link for this account, the system will manage the inventory release for you:

  1. The moment you save the master stock item (Line 001), DBd will automatically detect the backend relationship and pull the corresponding master stock item onto the next available line.
  2. The system will automatically configure this automated line with a Line Type of Customer Specific Inventory and leave the P/O Code blank.
  3. All you need to do is verify the automated line, confirm the warehouse location, and adjust the total master stock release quantity if you need to add an extra buffer for vendor printing press waste.

Option B: The Manual Method (Fallback)

If a companion link has not been set up for this specific item, you must add the release line manually at the bottom of the order:

  1. After entering all your message or description lines, create one final line at the bottom of the order.
  2. Leave the P/O Code completely blank (since you aren't purchasing new master stock from a vendor; you are pulling them from your own stock).
  3. Set the Line Type to Customer Specific Inventory.
  4. Enter your Item Code for the master item.
  5. Key in the Warehouse Code where those physical items are currently sitting.
  6. Input the Total Quantity of all master stock being released for the job.

💡 Pro-Tip: Make sure to factor in a tiny bit of extra quantity buffer to allow for standard vendor printing press waste!

Managing Lotted Inventory

If your warehouse operates on a lotted inventory system (and you do not have automatic lot selection turned on), the Lot Selection Screen will automatically pop up the moment you save the line:

  • Manually select the specific active inventory lots you want to draw from to fulfill this job.
  • Once selected, the system will instantly lock down and commit that master stock to this order. The stock will remain securely committed until the order moves to final invoicing.

Step 3: Verify and Complete

  1. Review your general shipping settings to apply the master destination address for the completed shipment.
  2. Open up your Sales Order Summary Screen and review the entire layout. You should see your imprint line, your version message rows, and your final inventory master stock line.
  3. If everything looks accurate, click Save & Exit to route the order!
