Funding
Q: How long does it take for transactions to fund?
A: All transactions fund the next business day.
- Weekend Processing: Transactions from Friday–Sunday deposit together on Monday.
- Note: Weekend deposits cannot be separated.
Payment Link Display
Q: Why does the payment link display "Adyen" instead of "DBPay"?
A: Adyen is the secure processor DBPay uses; transactions are still tied to your DBPay account.
Refund Timing
Q: How are refunds handled in DBPay? Do refunds settle immediately?
For customers receiving refunds:
- Funds typically appear within 3–5 business days on their card statement.
- Some banks may take up to 7–10 business days for full settlement.
For merchant accounts:
- Refunds are deducted from your next deposit, not immediately from your account.
- The refund amount is subtracted from in-process funds when processed.
Chargebacks
Q: How will chargebacks work with DBPay? Will clients receive notifications and enough time to dispute?
- Chargeback notifications are sent to all merchant admin users associated with the specific store.
- Notifications provide the Payment Service Provider (PSP), amount, and reason.
- Merchants can search the portal using the PSP to locate the transaction information.
- The merchant replies to the chargeback email or chargebacks@valpay.com with evidence to dispute.
- Notifications include a due-by date.
Deposits & Settlement Timing
Q: How long do deposits take?
A: Deposits usually appear within 1–2 business days, depending on the bank and payment type.
Q: Are deposits grouped or individual?
A: Deposits are typically grouped by batch, depending on the processor and your deposit schedule.
Debit Card Convenience Fee Note
When a client sets a convenience fee in EQ Distributor and pays with a debit card, the fee will be applied. However, when a debit card is used in eCommerce, the client will not be charged a convenience fee from ValPay.
Fee Structure Details
Q: What do the ValPay fees mean?
A: ValPay fees are a flat fee charged per transaction, regardless of amount.
- Per Transaction: Small flat fee per transaction.
- Discount: Percentage of total sales (processing cost). Often called the discount rate; charged by ValPay to process payments.
- Interchange: Pass-through cost to card-issuing banks (Visa, MasterCard, AMEX, etc.). This fee goes to the card-issuing bank for processing the card transaction.
Q: Why does Adyen show as the processor when payments go into ValPay?
A: Adyen is the underlying payment gateway and processor that ValPay uses to move money securely between the customer's card and the merchant's account. ValPay manages integration, reporting, and deposits, while Adyen handles actual transaction authorization and settlement. That's why "Adyen" may appear on card statements or receipts, even though funds are processed and reported through ValPay.
Virtual Terminal – Steps for Processing a Payment
- Log in and go to Virtual Terminal (access required).
- Enter payment information.
Important Notes
- Payments in Virtual Terminal do not integrate with EQ Distributor.
- Record payments manually under A/R > Receipts > Receipts Editing.
- No receipt option is currently available in the Virtual Terminal.
Sending a Receipt Through EQ Distributor
- Enter your receipt and apply it to the invoices.
- Exit and then reopen the receipt.
- Go to Program > Email Receipt to Client, but email it to yourself first.
- Add the invoices they paid and then send the receipt.
Note: The system will only send the dollar amount and not the invoice details. You can email the receipt to yourself, fill in the necessary information, and then forward it to the client.
