DBD: Summary Bill Report

The Customer Summary Bill enables consolidated invoicing, grouping a customer's billing activity over a designated period into a cohesive report format. Instead of manually entering dozens of distinct invoices, the client can process a single summarized entry into their accounts payable system to significantly cut down data entry overhead.

Key Features

  • Flexible Order Flagging: Accounts can be configured as Summary Bill Customers either across all transaction categories or restricted exclusively to specific order types.
  • Automated File Updates: Once an account is configured, transactions are automatically funneled to the summary ledger file at the time of the Sales Journal update.

    Dual-Report Package: The output automatically breaks out into two distinct components:

    1. Summary Bill: Provides an itemized list of each specific invoice that was finalized during the billing period.
    2. Shipment Detail by Location: Organizes fulfillment metrics by unique customer delivery locations or department cost centers, tracking freight and sales tax metrics at the individual line-item level.
  • Cover Sheet Invoicing: Includes an evaluation parameter to print a consolidated cover sheet equipped with a single master invoice number to attach to the grouped details.

Understanding the Report Outputs

1. The Summary Bill View

This view groups core transactional parameters sequentially by individual fulfillment event:

Block / Field Description
Invoice Header Lists the underlying transaction details: Invoice No., Date, Order No., Customer P/O No., Date Shipped, and Shipped Via.
Quantity & Item Code Outlines physical volume metrics alongside unique product catalog identifiers.
Unit Price / Amount Displays the unit valuation alongside extended line totals.
Surcharges & Net Totals Breaks out explicit freight or sales tax lines alongside a finalized Invoice Total block.
Summary Bill # Positioned at the footer of the document, this provides the critical single tracking number clients must reference when submitting payments.

2. The Shipment Detail by Location View

This view reorganizes the exact same period transactions, grouping them by delivery site or department cost center to ease internal corporate chargebacks:

Column Header Description
Location Header Groups rows under specific destination identifiers (e.g., Location: SW (0001) San Antonio, TX ).
Customer PO The customer-provided purchase order reference number attached to the line item.
Invoice The underlying source invoice number linked to that specific distribution.
Quantity / Item Code The unit counts and identifiers distributed to that specific department site.
Unit Price / Sales Amount Base catalog cost pricing alongside the subtotal extension.
Freight / Tax Granular line-item splits detailing transit costs and location-based taxes (*  indicates prorated calculations).
