EQD: Item Maintenance - Bulk Import Static Artwork for Items
Navigation: Item Maintenance > Tools > Import Static Art
Before You Begin
- Have the Client ID and Item ID for every item you want to update. Each item must already exist under that client.
- Have the artwork ready: either the full path to each artwork file, or the URL where the artwork is hosted.
- Download the sample template (ImportArtwork.xlsx) from this article for reference.
Part 1: Prepare the Import File
The import file needs three columns. The column names must match exactly, but the columns can be in any order.
- CLIENT: Required. A valid EQ Distributor Client ID.
- ITEM: Required. A valid Item ID that exists under that client.
- FILE: Required. The artwork source. See the FILE column options below.
FILE Column Options
- File name (example: X:\artwork\clientabc\envelope.jpg): Attaches the file at that full path as the item's static artwork.
- URL (example: http://www.xyz.com/file.bmp): Any entry starting with http: or https: is saved as a URL instead of a file.
- eqc (example: eqc): Attaches the first EQ/c image for the item as its static artwork.
- none (example: none): Removes the static artwork reference from the item. The artwork file itself is not deleted.
- Folder path (example: X:\artwork\clientabc\): When the entry ends with a backslash, the system looks in that folder for a file whose name begins with the Item ID (for example, ITEM5 statement.jpg).
Step 1: Review the Sample Template
Open ImportArtwork.xlsx. It explains each column and includes a sample file at the bottom showing the header row and one example of each FILE entry type.
Step 2: Enter Your Import Data
In a text editor such as Notepad (or in Excel), type the header row CLIENT,ITEM,FILE, then add one row per item. Separate values with commas (or tabs).
CLIENT,ITEM,FILE
ABC,52523,https://www.example.com
ABC,BR-03,C:\Users\user\Desktop\bqkns.jpg
In this example, item 52523 gets a URL and item BR-03 gets an artwork file.
Step 3: Save the File
Select File > Save As, choose a location you can browse to from EQ Distributor, name the file, and click Save. If you are working in Excel, save it as CSV (Comma delimited) or Text (Tab delimited).
Part 2: Import the Artwork
Step 4: Open Item Maintenance
From the EQ Distributor main menu, click Item Maintenance.
Step 5: Open Import Static Art
In the Item Maintenance window, click Tools, then select Import Static Art.
Step 6: Browse for the Import File
In the Import Static Artwork window, click the browse (…) button next to the Import File field.
Step 7: Select the File
Browse to the file you saved in Step 3, select it, and click Open. The file path appears in the Import File field.
Step 8: Start the Import
Click Import.
Step 9: Confirm the Import
When asked "Begin importing data?", click YES.
Step 10: Review the Results
When the import finishes, the Results panel shows a log of each record processed, any warnings, and a final line such as END OF IMPORT – 2 records read.
- Click Print to open the log in a text editor, where you can print or save it for your records.
- Click Exit to close the window.
Part 3: Verify the Artwork
Step 11: Check the Item List
In Item Maintenance, select the client. Items with static artwork now show (Art) in the Notes column.
Step 12: Open an Item and Review the Art Tab
Double-click an item and open the Art tab to confirm the Art Type and source.
URL entry: Art Type is set to URL and the address appears in the URL field.
File entry: Art Type is set to File and the File Name field shows where the system stored the artwork (for example, %AttachDir%\ABC\MBR-03-0_BQKNS.JPG). Click the view button to open the artwork.
Frequently Asked Questions
Q: What does the Import Static Art tool do?
A: It lets you assign static artwork to many items at once, instead of opening each item and updating its Art tab by hand. You create a simple comma- or tab-delimited file that lists the client, the item, and the artwork source (a file path or a URL), then import it. EQ Distributor updates each item and shows a log of the results.
Q: What three columns does the import file need?
A: CLIENT (a valid EQ Distributor Client ID), ITEM (a valid Item ID that exists under that client), and FILE (the artwork source). All three are required, the column names must match exactly, but the columns can be in any order.
Q: What happens if I put a URL in the FILE column?
A: Any entry starting with http: or https: is saved as a URL instead of a file.
Q: What does entering "eqc" in the FILE column do?
A: It attaches the first EQ/c image for the item as its static artwork.
Q: What does entering "none" in the FILE column do?
A: It removes the static artwork reference from the item. The artwork file itself is not deleted.
Q: What happens if the FILE entry is a folder path ending with a backslash?
A: The system looks in that folder for a file whose name begins with the Item ID (for example, ITEM5 statement.jpg).
Q: What if my import file has extra columns, or is missing TO_PO, TO_QT, or TO_RFQ?
A: You can include other columns in the file; the import ignores them. If the file does not include the optional TO_PO, TO_QT, and TO_RFQ columns, the import uses these defaults for the item's "Attach To" settings: PO = Y, Quote = N, RFQ = N.
Q: How do I know the import finished?
A: The Results panel shows a log of each record processed, any warnings, and a final line such as END OF IMPORT – 2 records read.
Q: What does a warning like "File is missing column TO_PO -- Y assumed" mean?
A: It is informational and simply means the default was used.
Q: How can I tell an item now has static artwork?
A: In Item Maintenance, items with static artwork show (Art) in the Notes column.
Q: How do I confirm the artwork was applied correctly?
A: Double-click the item and open the Art tab. For a URL entry, Art Type is set to URL and the address appears in the URL field. For a file entry, Art Type is set to File and the File Name field shows where the system stored the artwork; click the view button to open the artwork.
