DBC: Back Office Integration with DBD

Buyer Setup

You will need to setup a buyer for each customer site on DB Commerce. This is done through the eCommerce Toolkit menu screens on DB Distributor.

  • CHUI Instructions - EC Buyer Setup – E/C, S4
  • GUI Instructions - DB Distributor Toolkits → eCommerce → Setup → Buyers

The required fields are located on tabs 1 - Setup and 4 - Catalog.

Setup Tab

  • Buyer’s ID code – The Buyer’s ID Code must be 10 digits/characters, the first 2 are the division code and the following 8 are the customer code padded with 0’s as needed, or spaces in the case of alpha codes.
  • Buyer’s password – This is the exact same 10 characters as the Buyer’s ID Code.
  • Buyer’s Customer Code – This is the appropriate Buyer’s customer code for the account. This is the account that orders will be created under. Please make sure you change this if you copy this from an already setup buyer.

Catalog Tab

  • EC Catalog ID – You are required to have a catalog. You should create a dummy catalog with no items and not associated with a real customer that you can use for this purpose - something like 00000000 or 00-0000000 for example.

Automated Buyer Setup

There is a utility in DB/d that can be used to automate the process of setting up the EC Buyer record,

and will also setup the customer in the Data Rep Filter. It will create the buyer record using the correct format and will populate all the mandatory fields. It is available only in GUI, DB Distributor →

Accounts Receivable → Setup → DBE Customer Setup in DBD

If setting this up as a parameter record, you will only need to fill in the Catalog ID and the Target

Code. The Catalog ID will be used as the default catalog when setting up the DB/d buyer record.

The Target Code should be set to your replicated data set for DB Commerce. This will tell the system

to add the customer code into the filter for that set of replicated data.

This option can also be accessed from within the main customer setup record. The option is called

“Setup DBE Records”. When accessing the option in this manner, all fields will be locked, and you

will only have the option of pressing the Proceed button to create the buyer record and add the

customer to the filter. You will be prompted to see if you would like to replicate that customers data

at that time as well.


eCommerce Customer Parameters

This setup is required if you want the system to prompt the EC Item Parameters for each item as well

as to designate the default warehouse for the customer.

  • GUI Instructions - DB Distributor Toolkits → eCommerce → Setup → Customer Parameters

If you want to designate the default warehouse, you can do so on Tab 4. If you do not need to

designate a default warehouse, there are no other steps than to just create the Customer

Parameters record. Save and Exit.


eCommerce Item Parameters

Once the EC Customer Parameters have been set up, you can specify if you want a DBc order for an

item to create a Purchase Order in DBd. To do so, go into Custom Item Setup/Inquiry for the item.

Once you click Exit, it will now take you to an additional window called eCommerce Item Parameters.

On Tab 3 Ordering, you can check the box to Create P/O on order If you do not check this box, the

system will assume that the order transmitting from DBc is a release of inventory as opposed to a

purchase order.


Data Replication Filter

Within DB/d, you have the option of filtering which customers you replicate data for. Setting

this up will help limit the amount of data you are replicating from DB/d to DB/c, as replication

is not needed for non-DB/c customers. This can be setup here:

  • CHUI Instructions – D/R, S4
  • GUI Instructions - DB Distributor Optional Modules → Data Replication → Setup → Apply Filters

In the Target Code field, you will want to select your “target” that is setup for DB/c data replication

(usually DB_ENTERPRISE). In the Select Filter field, you will select the customer(s) that you would

like to replicate data for, and then click on the Apply Filter button. If you ever feel that your DB/d

and DB/c data is not in synch, you can click on the Select check box next to a customer, and then

click on the Replicate button to have all of their data re-sent from DB/d to DB/c. However, you might

first want to check your data rep queue to verify that you don’t have a back-up of data waiting to

process. Note: If you know that you will be sending a large volume of records to re-replicate, it might

be best to start this at the end of the day on Friday, so that the records can be processed and clear

out over the weekend. If you frequently have large volumes of data to replicate, you may want to

consider setting up multiple data streams to increase the speed of your replication. Please contact
