EQD: DBPay Transactions Now Reference The Invoice Number Instead Of The EQ Commerce Order Number

🔵 Overview When a credit card is authorized through EQ Commerce (EQc), ValPay's transaction record now updates to reference the invoice number instead of continuing to show only the EQc order number — but only once that authorization is captured through AR > Receipts > Open Credit Cards. This makes it possible to reconcile a ValPay transaction directly against the matching AR/Open Credit Cards record, which has always referenced the invoice number.

Why This Matters

Previously, a credit card authorized in EQc was captured before an invoice number existed, so ValPay only had the EQc order number to reference. Once the order was invoiced and paid in EQD, the AR and Open Credit Cards records referenced the invoice number — but ValPay's transaction still showed only the original EQc order number, creating a mismatch that made reconciliation difficult.

How It Works Now

  • If a PO or Release is charged directly before it's ever invoiced, there's no invoice number yet to send — ValPay continues to reference the EQc order number.
  • Posting the invoice to AR by itself does not trigger the change — the Merchant Reference still shows the EQc order number at this point.
  • The Merchant Reference only updates to the invoice number once that invoice is actually captured/paid through AR > Receipts > Open Credit Cards.
  • This is specifically a capture-time update — the invoice number isn't available at authorization, since the invoice doesn't exist yet at that point.

💡 Note Only one reference can be shown at a time. Once ValPay's Merchant Reference updates to the invoice number, the original EQc order number is no longer displayed there.

Refunds Processed Through ValPay

If a refund is issued directly through ValPay's own portal (rather than through EQD), ValPay no longer displays the invoice reference for that transaction — it shows its own processor reference instead. This is controlled by ValPay, not EQD, so it's expected rather than an error.

Frequently Asked Questions

Q: When does ValPay switch from the EQc order number to the invoice number?

A: Only when the invoice is captured/paid through AR > Receipts > Open Credit Cards — not when it's created, and not when it's merely posted to AR.

Q: Can I still see the original EQc order number in ValPay after the invoice number appears?

A: No. There's only room for one reference, so the invoice number replaces the EQc order number reference once the payment is captured in A/R.

Q: If I charge a PO or Release directly, without invoicing it first, will ValPay show the invoice number?

A: No. There's no invoice number to send in that case, so ValPay continues to reference the EQc order number.

Q: Does posting an invoice to AR change the ValPay reference?

A: No. Posting alone doesn't trigger the change. The Merchant Reference only updates once that invoice is captured/paid through AR > Receipts > Open Credit Cards.

Q: Why does a refund I processed in ValPay show a different reference than the invoice number?

A: If the refund was issued through ValPay's own portal, ValPay displays its own processor reference instead of the invoice reference — this is ValPay's behavior, not something EQD controls.

Q: Will the Open Credit Cards record and the ValPay transaction match?

A: Yes. Once the payment is captured in A/R, the invoice number shown in ValPay matches the corresponding Open Credit Cards record.
