DBD: Order Entry 6 – Billable Release
A Billable Release is used to pull pre-existing stock out of a warehouse facility to fulfill a delivery. This applies to both Customer Owned Goods (stored under a 9000-series warehouse code) and Distributor Owned Products sitting in regular inventory.
Path: DB Distributor > Order Processing > Order Processing > Order Entry
Step 1: Session Defaults & Header Setup
- Double-click Order Entry to open your session.
- On the initial defaults prompt, select the Billable Release radio button.
- Complete your standard freight defaults (FOB, How to Ship, Ship Via) and click Proceed.
- Click Add New Order on the entry screen to generate a fresh order number.
- Complete your primary customer info tags (Customer Code, Requested Date, and Ordered By) exactly as outlined in DBD: Order Entry 1 - Standard Sales Order Header . Click Finish.

Step 2: Line Entry & Lot Selection
Click New Line to open the item selection parameters. Because you are releasing items that already physically exist in storage, use these specific line configurations:

- Line Type: This will default to Customer Specific Item. If you are pulling general stock items instead, change this dropdown to Stock Item.
- Warehouse: Enter the specific warehouse code where the inventory is currently stored.
- Item Code: Enter the unique item ID or use the search query to pull up the product data.
- Quantity Ordered: Enter the exact number of pieces you need to release.
Managing Inventory Lots
The moment you enter your quantity, the system will look at the warehouse stock layers. You have two options for assigning the items:
- Automatic Allocation (Default): The system automatically allocates pieces from your active inventory lots using strict FIFO (First In, First Out) accounting rules.
- Manual Lot Selection: If you need to override the system allocation to pull from a specific batch, click the Hand Icon to open the Inventory Lot Selection panel. Review your available inventory layers, manually type your target quantity directly into the Quantity Selected field for your preferred lot, and click Exit to return to line entry.


Step 3: Logistics Validation
- IMS Customers: Input a valid, pre-validated customer location code or click Query to select it.
- Non-IMS/One-Off Deliveries: Type
Min this field to manually key in a custom delivery address.

- Click Next to proceed to the Shipping tab.
- Select your freight baseline settings (FOB, How to Ship, and Ship Via) from the dropdown menus.
- Click Next to proceed to the Other tab (Note: These fields do not apply to release orders).
- Click Finish to return to the Address tab, then hit Done to return to the main Sales Order Entry Summary screen.

Committing the Release
Review your final lines on the summary screen, then choose your exit path:

- Click Save to lock your transactional data into DBd and instantly refresh your screen to start a new ticket.
- Click Save and Exit to commit the order and instantly trigger the background system processes to print or electronically route your warehouse Packing Slip / Pull Ticket.
