DBD: Order Entry 4 - Shipping & Warehouse Routing

Every sales order in DBd requires shipping validation. While simple orders going straight to one destination use General Shipping, you must check the Special Shipping box on your line item if you are split-shipping to multiple customer locations, splitting carrier methods, routing leftover custom production directly into a storage warehouse, or bringing in customer owned inventory.


Path 1: General Shipping (Single Destination)

If the entire quantity of your order is shipping directly to a single customer location, leave the Special Shipping box unchecked.

  1. On the General Shipping panel, enter the customer's pre-set Ship-To Code or use the query option to search for it.
  2. Manual Override: If your customer isn't set up for regular Item Management, you can type M      in the code field to manually key in a one-off shipping address.
  3. Click Done to advance straight to the final Order Summary screen.

Path 2: Special Shipping (Split-Ships & Warehousing)

If your order requires complex distributions, checking the Special Shipping box will open the advanced logistics interface. You will work through three core sub-tabs for each destination point (Shipping Point).

1. The Address Tab

This tab establishes where each batch of pieces is physically heading and how they are taxed.

  • Shipping Points Dropdown: This grid displays your active distribution channels for the line.
  • Ship-To Code: Enter a valid customer location code, or type M      for Manual to type in a one-off delivery address.

    ⚠️ The Sales Tax Catch: Most taxing jurisdictions charge sales tax based on the physical shipping destination. DBd automatically pulls your tax data straight from the customer's validated Ship-To master file. If a rare exception applies to this run, you can manually override the tax code right here.

Click Next.

2. The Shipping Tab

This tab handles how the freight is moving. DBd automatically pulls carrier and billing defaults using a strict order of priority:

  1. Priority 1: Shipping defaults assigned directly to the chosen Customer Ship-To Location.
  2. Priority 2: If those are blank, it pulls from the general Customer Master file.
  3. Priority 3: If the customer record is blank, it defaults to your live Order Entry Defaults Panel session settings.

🛠️ CSR Override: You can manually clear and change any of this data (like switching a carrier or updating third-party freight billing details) directly on the screen. To accept the defaults, click Next.

3. The Other Tab

This is where you distribute your line quantities across your shipping points.

  • Quantity to Ship Here: Enter the exact number of pieces designated for this specific location, then click Finish.
  • Adding More Locations: The screen will clear, allowing you to add your next Ship-To destination by repeating the steps above.

Routing Leftovers to a Storage Warehouse

If you are running a large production order and the customer only wants a portion shipped immediately, you will need to bring the remainder into inventory to be stored for future releases.

  1. On a new shipping point row, locate the Location Type dropdown and select Warehouse.
  2. Click the Code dropdown list and select the applicable warehouse code where the stock will sit. Click Next.

    📌 The 9000-Series Rule: Because this is a standard Sales Order, the system protects your inventory accounting by only allowing you to choose a warehouse designated for Customer Owned Goods. In DBd, these fulfillment storage facilities are always numbered between 9000 and 9999      .

  3. Confirming Quantities: The system will automatically default the Quantity to Ship Here field to the exact number of pieces left over on the order line. Click Finish and then hit Done to close out the logistics track.

The Order Summary Dashboard (The Final Check)

Once all lines, special charges, and shipping destinations are entirely in place, DBd brings you to the Order Summary Dashboard. This is your central command center to audit your ticket before writing it permanently to the database.

Before hitting save, use these dashboard utility buttons to tweak or verify your data if something looks off:

  • Header: Returns you to your customer, info, and commission split screens. (Note: You cannot change the core Customer Code or Order Type here, as those act as the system database lock key).
  • Lines: Double-click any line row to alter transaction details, edit quantities, or adjust your buy/sell costs.
  • Shipping: Opens up your delivery tracking to adjust carrier routing or tweak your split quantities.
  • Notepad: Opens a unique text area to document custom, one-off order instructions for internal handling or warehouse teams.
  • Purchase Order / Item Specs: Quick-jump toggles to verify your vendor information or adjust your underlying component manufacturing specifications.
  • Entry Defaults: Changes your session rules for future orders entered today. This will not alter your current ticket details.

Saving and Exiting

  • Click Save to lock all transactional data into DBd and open a fresh, blank screen for your next order.
  • Click Exit to close out your session and return cleanly to the main operating menu.
